# Correct, cancel or reject a document

Issue a credit or debit note against an invoice, and find out what you can and cannot do with a document that was already sent or one you received. You need access to Documents in the Invoice Portal.

Once a document has been sent to the tax authority or the Peppol network, you cannot edit it, recall it or delete it. To change what it says, you issue a new document that refers to it.

## What the Invoice Portal offers

| Reduce or reverse an invoice you issued | Create a **credit note** that refers to it. See below. |
| Charge more on an invoice you issued | Create a **debit note** that refers to it. See below. |
| Fix a document marked **Needs Correction** | Open it, correct the fields and resubmit. It was never sent. See [Create and fix documents](https://docs.complyance.io/one-platform/invoice-portal/documents/create-and-fix/#fix-a-document-marked-needs-correction). |
| Cancel or withdraw a document you already sent | There is no cancel or withdraw action. Issue a credit note instead. |
| Reject or accept a purchase document you received | There is no reject, accept or reply action. Contact the supplier and ask for a credit note or a corrected document. |

The **Withdrawn**, **Buyer Rejected** and **Seller Cancelled** statuses you may see in the list are set by the tax authority or the network, not by a button in the portal. See [Document statuses](https://docs.complyance.io/one-platform/invoice-portal/documents/statuses/).

## Issue a credit or debit note against an invoice

> Have the original invoice’s document number, and select the same country and environment it was sent in. The original invoice should show **Compliant**.

### Step 1: Start a new document

Open **Documents**, then **Sales**, and choose **Create new document**. The Invoice Portal has no “credit note from invoice” shortcut, so you start from a blank form.

### Step 2: Choose the note type

Set **Base document type** to **Credit Note** or **Debit Note**. In Saudi Arabia, choose **Simplified Credit Note** or **Simplified Debit Note** when the original was a simplified (B2C) invoice.

### Step 3: Refer to the original invoice

Fill in the fields that point back to the original. Their names depend on the country:

| United Arab Emirates | **Reference ID** (the original invoice’s number) and **Credit Note Reason Code**. Both are required for a credit note. |
| Saudi Arabia | **Reference ID** and **Note Issuance Reason**. The reason is required for credit and debit notes. |
| Malaysia | **Reference ID**, **Original E-Invoice Reference UUID** (the UUID LHDN gave the original) and **Billing Reference ID** |
| Oman | **Reference ID** and **Referenced document UUID** |
| Belgium and Germany | **Reference ID** |

### Step 4: Enter the amounts and send it

Enter the lines and amounts being credited or debited, using the same seller, buyer and currency as the original. Choose **Create invoice**. When the note shows **Ready**, choose **Submit to Government**.

You should see the note in **Sales** with its own document number. It moves through the same [statuses](https://docs.complyance.io/one-platform/invoice-portal/documents/statuses/) as an invoice.

To send credit notes from your own system instead, send them through your integration with the `credit_note` base type. See [Document types](https://docs.complyance.io/api-reference/gets/document-types/).

## If something goes wrong

**The note is marked Needs Correction for a missing reference:** fill in the reference fields listed above for your country, then choose **Update invoice**.

**The original invoice is Non-Compliant:** it was never accepted, so there is nothing to credit. Create a corrected invoice instead.

**You received a purchase document with wrong details:** ask the supplier to issue a credit note or a corrected invoice. It arrives in **Purchases** like any other document.
