Sales documents

The Sales Documents list shows the invoices and credit notes your company issues. Use it to follow each document from validation through delivery and open documents that need attention.

Open Documents, then Sales. The list follows the country and environment selected in the sidebar. The number beside Sales Documents is the number of documents that match the current search and filters.

Read the list

The default view shows these columns:

ColumnWhat it tells you
Document NumberThe invoice or credit-note number. Choose it to open the document.
DocumentWhether the document is ready, still processing, needs correction, or has passed its checks.
DeliveryWhether delivery has started and whether it succeeded.
BusinessA response from the receiver, when the selected country supports one. A dash means there is no response to show.
Document TypeThe kind of document, such as B2B Invoice or B2B Credit Note.
Company / BranchThe company and branch that issued the document.
Invoice Total AmountThe total amount on the document.
Issue DateThe date the document was issued.
Document CurrencyThe currency used for the amounts.
ActionsOpen the available PDF or XML.

You can change the columns by creating or editing a view.

Read the Document status

The statuses available depend on the selected country. These are the common statuses you may see:

StatusWhat it meansWhat to do
DraftThe document has not started processing.Open it to see what remains before processing.
ReadyThe document is ready for its next processing step.No action is normally needed. Refresh later if the status does not change.
ProcessingThe document is being checked or submitted.Wait for the status to change.
Needs CorrectionOne or more problems stop the document from progressing.Open the document and fix the validation issues.
SubmittedThe document has been submitted and is waiting for a later result.Wait for the status to change.
CompliantThe document passed the required checks.Read the Delivery status to confirm whether it reached its destination.
Non-CompliantThe document did not pass a required check or was rejected.Open the document and read its status details before taking the next action.

Read the Delivery status

StatusWhat it meansWhat to do
Not StartedDelivery has not begun. This is expected while a document needs correction.Fix a document marked Needs Correction. Otherwise, wait for processing to begin.
PendingDelivery is still in progress.Wait for the status to change.
DeliveredThe document reached its destination.No action is needed.
Delivery FailedA delivery attempt did not succeed.Open the document and review its status details. Contact support if the next action is not clear.
Delivery RejectedThe destination rejected the delivery.Open the document and review its status details.
WithdrawnThe submitted document was withdrawn.Open the document to review the latest status.

Read Document and Delivery separately. A document can be Compliant but show Delivery Failed because it passed its checks but did not reach its destination.

Work with a sales document

  • Choose the document number to open it. Documents marked Needs Correction open in the correction form.
  • Choose View PDF or View XML in the Actions column. View PDF is unavailable when a PDF has not been produced.
  • Select one or more rows, then choose Actions to export, download, or email them. See Download, export and email.
  • Choose Create new document to enter one by hand, or Upload new document(s) to import documents from a file.
